How Much Does It Cost to Get AI Set Up for a Small Business?

Between roughly $25 a month and $10,000 up front, depending on how much of the work you want to do yourself. That is the honest range for small business AI setup costs, broken down by lane below, with real numbers from my own price list.

Most consultants make you book a call to learn what anything costs. I think that is part of the reason nobody trusts this industry. So, numbers.

The four lanes of AI setup cost

Lane 1: Do it yourself. $25 to $100 a month.

A Claude or ChatGPT subscription runs about $20 to $30 a month per person. That plus a few hours of tinkering gets you drafting emails, summarizing documents, and answering questions faster.

The real cost here is your time. Owners who go this route usually plateau after a month, at least in my experience. The tools work. The habits and workflows around them are the hard part.

Lane 2: Learn it properly. $850 to $2,500.

Live training cohorts for business owners run $850 to $2,500 across the market right now. Mine, AI From Zero, is $1,497 for the founding group. Four weeks, twice a week, and you leave with working tools you built for your own business, not a certificate and a folder of slides.

This lane makes sense when you want the capability to live in your head, not in a vendor's.

Lane 3: Have it built for you. $5,000 to $10,000, one time.

This is the "someone comes in and wires it up" option. My install tiers run $5,000, $8,000, or $10,000 depending on how many workflows we automate. If you want a full assessment first, that is $10,000 and it credits toward the install, so you are not paying twice.

One thing to check before you sign with anyone: whether the price includes new software. My installs run on the tools you already use. No new CRM, no platform migration, no per-seat licenses stacking up. If a quote requires you to move your whole business onto a new system, the sticker price is only the down payment.

Lane 4: Keep it running. $1,500 to $2,500 a month, optional.

A retainer covers monitoring, fixes, and new automations as your business changes. Some owners want this. Plenty run fine without it after the install. Anyone who tells you a monthly plan is mandatory is selling recurring revenue, theirs.

What makes the price go up

Three things, mostly:

  • Migrations. Moving data between platforms is where budgets die.
  • Per-seat AI platforms. $30 a head times 15 people times 12 months adds up to more than a one-time install.
  • Enterprise consultants doing SMB work. If their pricing page does not exist, their anchor client is not your size.

What I would spend first

If you have $100: a Claude subscription and one Saturday morning.

If you have $1,500: learn it in a cohort, because the skill compounds and the subscription math never does.

If you have $10,000 and no time: get the assessment, take the ranked plan, and decide how much of it to build.

Is a ChatGPT or Claude subscription enough by itself? For one person doing light work, yes. For a team with repeatable workflows, the subscription is the start, not the setup.

What is the cheapest real starting point? About $25 a month plus your own hours. The cheapest one that sticks is usually training, because the skill stays when the subscription lapses.

How long does a full setup take? My installs run two to six weeks depending on tier. An assessment takes two to three.

Do I need a monthly retainer? No. It helps if your workflows change often. Skip it if they do not.
