What Business Automation Actually Costs (And What You're Really Paying For)
Meta title: What Business Automation Actually Costs | Digital Hellos Meta description: Confused by automation pricing? Here's what you're actually paying for: tools, setup, consultant time, and what gets skipped when you go cheap. Slug: what-business-automation-actually-costs Target keyword: how much does business automation cost
A client asked me last week what automation costs. I told her it depends, and she looked at me like I'd just wasted her time.
Fair. So here's the actual breakdown.
When people ask how much does business automation cost, they usually mean the software subscription. That's one line item out of four.
The Software Subscription
This is the part most people price first. Tools like Zapier, Make, or n8n connect your apps and run your automations.
Zapier starts around $20/month for basic use and scales quickly once you're running serious volume. Make is cheaper for complex workflows. n8n is free if you self-host but requires more technical setup.
Most small businesses land somewhere between $50 and $200/month on tooling, depending on how many automations they're running and which platforms they need to connect.
That's the easy number to find. It's also the least important one.
The Setup Cost
Software doesn't configure itself.
Someone has to map the workflow, build the automation logic, write the messages and sequences, connect the integrations, and test every edge case before it goes live. That's where most of the real cost lives.
If you hire a consultant for setup, expect to pay $500 to $3,000 per automation depending on complexity. A simple lead notification that fires when a form is filled takes an hour. A multi-step client onboarding sequence that touches your CRM, your calendar, and your email platform takes a week.
If you do it yourself, the cost is your time. Which brings us to the next line item.
Your Time (If You're Doing It Yourself)
DIY automation is not free.
Learning the tools, troubleshooting broken connections, figuring out why a Zap stopped firing at 3am, rebuilding it after a platform update changes the API, testing and retesting before you trust it with real customers. That's real time with a real cost.
For most business owners, the hourly rate on that time is higher than what a consultant would charge to do it correctly.
This isn't an argument against doing it yourself. Some owners have the patience and aptitude for it and enjoy the process. But going in thinking it's free is how you end up six hours deep in documentation on a Saturday.
Ongoing Maintenance
Automations break. Platforms update. APIs change. Workflows that worked perfectly in January need adjustments by April.
If you built it yourself, you own the maintenance. If a consultant built it, you either have a retainer in place or you pay per fix.
Budget a few hours per month for maintenance, either in your time or in a small ongoing fee. The businesses that skip this end up with broken automations they don't notice until a customer falls through the gap.
What Business Automation Actually Costs: A Realistic Range
| Scope | Monthly Software | Setup (One-Time) | Maintenance | |-------|-----------------|------------------|-------------| | 1-2 simple automations | $20-50 | $300-800 | Minimal | | Small workflow system | $50-150 | $1,000-3,000 | 1-2 hrs/mo | | Full operations build | $150-300 | $3,000-8,000 | Retainer or as-needed |
These are ranges, not quotes. Every business is different. But this gives you a frame for the conversation.
The Number Most People Don't Factor In
The cost of not automating.
Every hour spent on manual scheduling, follow-up, data entry, and status updates is money. If you're spending 10 hours a week on tasks automation could handle, and your time is worth $100/hour, that's $4,000/month sitting on the table.
Automation doesn't always pay for itself in cost savings. Sometimes it pays for itself in capacity, which is harder to put a number on but just as real.
